Active Gloucestershire Auditor
Tender Specification
Active Gloucestershire contract with PEM for financial services and support including management accounting and payroll. We use Xero as our primary accounting package and currently employ circa twenty employees.
PEM are responsible for the management of the ledgers and management of the purchase order platform (Approval Max) and payments platform Telleroo. PEM provide monthly payroll support to Active Gloucestershire and the management information required to produce the reports for budget holders, Senior Leadership Team and Board monthly.
We are seeking interest from suppliers to undertake the following work.
Accounts and audit
- From the Xero records (trial balance, statement of financial activity and statement of financial position) produce the financial statements and accompanying notes to satisfy the requirements of the Charity Commission and Companies Act.
- From these accounts conduct an independent financial audit of those transactions and records to satisfy the requirements of the Charity Commission and Companies House and reporting findings to the Board.
- Assist Active Gloucestershire staff in the completion of the annual report.
Company secretary
- Act as the Active Gloucestershire Company Secretary by providing all required end of year returns and submissions to Companies House and the Charity Commission, including the annual Charity Commission return.
- Submit all changes, resignations and appointments of Directors / Trustees.
Other requirements
- The auditor will be required for ad-hoc advice to discuss any financially related matters and to have suitably qualified staff available.
Interested parties are invited to submit a cost proposal and detail their experience and knowledge of charity audit. Our existing provider is due to complete the 2024/25 audit in May 2025 and we’re looking to appoint an auditor for three years from this point to cover and include the 2027/28 audit.
